  • Overview

    Administers and maintains the complete employee benefit process.  Assures benefit plans compliance with all applicable state and federal regulations.  Provides guidance and assistance to employees with regards to benefits matters, as well as provide support to the HR and Payroll team in all locations.

    Responsibilities

    • Administers on-line enrollment process for new hires, employee events/changes, termination and open enrollment
    • Provides benefit plan interpretation, guidance and counsel to employees
    • Funds the Fidelity 401k contributions each payroll
    • Update 401k  deferrals, loans and address changes in the Payroll system
    • Process the 401k Annual audit, Quarterly audit and 5500 fillings
    • Monitor the TB/HBV documentation and tracking
    • Maintains the Hurricane Committee Information binder
    • Communicates with Sales Team auto accident  forms and tracks driver licenses
    • Files Washington and Ohio Work Comp premiums
    • Coordinate Biometric Screenings and Onsite flu clinic set up
    • Process the Worker Comp renewal and audit
    • Creates communications and participate in the planning of initiatives for Wellness Program
    • Audit ACA monthly reports for compliance
    • Serves as a liaison with carriers in business planning and in resolving claims discrepancies
    • Updates on-line enrollment and payroll system with regards to benefit data adjustments
    • Manages the annual benefit open enrollment process
    • Creates reports and audits on-line enrollment and benefit deductions for accuracy
    • Analyzes, audits and administers invoices, makes determinations regarding payment and advocates on behalf of the company with carriers  related to discrepancies
    • Manages wellness activities, coordinates with carriers, sets up schedules and manages the event
    • Manages the administration of the Health & Welfare plans, Flexible Spending accounts
    • Participates in the 401(k) committee meetings
    • Manages the reporting of Worker Compensation claims to carrier and follow-up
    • Process the OSHA reporting annually
    • Monitors the COBRA process and ensures compliance
    • Provides ergonomic assessments
    • Maintains supplies for the first aid kits
    • Compiles and analyzes reports  in order to make recommendations to the senior leadership team for financial and strategic planning
    • Remains current on benefit related laws, regulations and requirements
    • Maintains a high degree of confidentiality at all times due to access to sensitive information
    • Maintains regular, predictable, consistent attendance and is flexible to meet the needs of the department
    • Follows all Medicare, Medicaid, HIPAA, and Private Insurance regulations and requirements
    • Abides by all regulations, policies, procedures and standards
    • Exercises appropriate cost control measures
    • Maintains positive internal and external customer service relationships
    • Maintains open lines of communication
    • Plans and organizes work effectively and ensures its completion
    • Meets all productivity requirements
    • Demonstrates team behavior and promotes a team-oriented environment
    • Actively participates in Continuous Quality Improvement
    • Represents the organization professionally at all times

    Qualifications

    • High School Diploma or (GED) equivalent and two to four years of  benefits administration experience and/or training, or equivalent combination of education and experience
    • Previous experience with HRIS software programs a plus
    • Previous experience with ADP Health & Welfare preferred
    • Proficient with Word,  PowerPoint and Excel.  Experience with V Look ups and pivot tables a plus.
    • Demonstrates thoroughness with all work related activities.
